Key Event Security Questions
December TK, 2016

As the focus of violent attacks has become increasingly centered on "soft targets", event planners need to be risk-aware and mitigation-minded. A soft target is typically defined as an individual, organization, facility or place that is relatively unprotected or vulnerable to an attack.  Sporting arenas, hotels, cultural centers, movie theaters, cafés and restaurants are not only examples of soft target locations, but are often central locations for the meeting and event industry.

At the moment a meeting or event is considered, planners should consider the scope of the event or meeting, understand the risks to the participants, consider the impact on the community, and the emergency support required. To help organizations in this complex process, RANE’s Advisory Group works customers through its own comprehensive event security assessment tool.

The following checklist offers just a small sample of the kinds of critical questions enterprises must ask themselves in advance of any meeting or event. To learn more about RANE’s event security assessment tool, visit www.ranenetwork.com or advisory@ranenetwork.com.

  1. Does the organization or the event have a history of receiving threats?
  2. Have you assessed the potential impacts of these threats on the event?
  3. Has an event timeline been created that identifies critical security tasks for managing administrative and logistical needs?
  4. Does the event venue have a site security plan?
  5. Have venue security plans been cross-matched to your organization policy?
  6. Have you conducted an assessment concerning the need for a professional security firm?
  7. Has the security plan been communicated and disseminated to key management personnel and departments?
  8. Does the organization have a written emergency and crisis communication plan?
  9. Are there adequate and well-marked access and egress paths to and from the event and between areas during the event?
  10. Has an individual been designated within the organization to coordinate crisis response during the event?
  11. Have you identified estimated response times to venue for emergency responders?
  12. Which hospital has been identified for emergencies?
  13. Have you determined what numbers and types of medical personnel are needed at the event?
  14. Have you planned and provided for weather conditions if holding an outdoor event?  (non-slip mats, shade, sunscreen and drinking water available)
  15. Have you identified where the public should be sheltered in place or evacuated in the case of a weather emergency?
